How is your pricing structured?

We work on three commercial models: (1) a fixed monthly retainer for outsourced finance — scoped by property size, transaction volume and modules in scope; (2) project-based fees for defined consultancy engagements (e.g. SOP build, pre-opening setup) quoted on scope; and (3) a hybrid model combining a smaller retainer with project add-ons. Virtual CFO engagements are priced on time commitment (typically 2–8 days per month).

What drives the monthly retainer cost?

Property size (rooms / outlets / covers), monthly transaction volume, number of legal entities, complexity of revenue streams, reporting frequency, languages required and the systems already in place (PMS, POS, ERP). A small boutique hotel will pay a fraction of what a multi-outlet city hotel pays.

Question 3

Are there setup or transition fees?

Yes — a one-time onboarding fee covers data migration, chart of accounts alignment, SOP setup and system access configuration. It is typically equivalent to one to two months of the agreed retainer and is quoted upfront before signing.

Question 4

Is there a minimum commitment?

Accepted Answer

Retainers run on a 6 or 12-month initial term to ensure stable transition and continuity, with a 60-day notice period thereafter. Project consultancy has no minimum term — it ends on delivery of the agreed scope.

Question 5

What's NOT included in the retainer?

Accepted Answer

Statutory external audit fees, tax filing fees paid to authorities, software licences (PMS / POS / ERP), travel beyond agreed visits, and any additional scope requested mid-engagement. These are quoted separately and only with prior approval.

Question 6

How long does onboarding take?

A standard onboarding runs 4–6 weeks from signed agreement to full go-live. Week 1 is discovery and access setup; Weeks 2–3 cover data migration, chart of accounts mapping and SOP alignment; Week 4 is parallel run; Weeks 5–6 are go-live with stabilization support.

Question 7

Can you start faster if needed?

Yes — for partial outsourcing (e.g. just bookkeeping or just reporting) or for properties already on cloud accounting systems, we can typically be live in 2–3 weeks. Pre-opening engagements follow the property's opening calendar.

Question 8

Will my operations be disrupted during transition?

Accepted Answer

No. Transitions are designed to be invisible to operations. We run in parallel with your existing process for at least one full close cycle before fully cutting over, and your front office, F&B and HR teams continue using the same systems they already know.

Question 9

When will I see the first management report?

Accepted Answer

The first full monthly P&L, balance sheet and departmental performance pack is delivered within 10 working days of the first month-end after go-live. Daily revenue reports start from day 1 of the live period.

What do you need from us to get started?

Accepted Answer

For onboarding we need: trade licence and entity documents, latest audited financials (last 2 years if available), current chart of accounts, latest trial balance, fixed asset register, opening bank balances, payroll master, supplier and customer master data, and read access to your PMS, POS and accounting system.

What if our books are not up to date?

Accepted Answer

That's a common starting point. We include a books cleanup phase as part of onboarding — backlog reconciliation, account clean-up and opening balance restatement — and quote it as a one-time scope item before the recurring retainer begins.

Question 12

Do we need to change our accounting software?

Accepted Answer

Usually no. We work with your existing platform — Tally, SAP, Oracle, Xero, QuickBooks, Sun Systems or others. If we recommend a change, it is documented as a separate optional project with full ROI justification.

Question 13

What system access do you require?

Accepted Answer

Read-only access to PMS and POS; user-level access to your accounting/ERP scoped to the modules we operate; secure shared folder for documents (typically Google Drive, OneDrive or SharePoint); and email aliases for vendor and bank correspondence.

Question 14

How do you protect our financial information?

Accepted Answer

Every engagement begins with a signed Non-Disclosure Agreement covering both the firm and individual team members. Data is handled on encrypted cloud storage with role-based access, MFA on all systems, and strict need-to-know access. We never store client data on personal devices.

Question 15

Who on your team will see our data?

Accepted Answer

A named engagement lead and a small core team — typically 2 to 4 people — assigned exclusively to your account. You will know each person by name and role. New team members are added only with your written approval.

Question 16

What happens to our data if we end the engagement?

On exit, we provide a full handover pack: latest trial balance, all reconciliations, SOP library, working files and supporting documentation. Your data is then securely deleted from our systems within 30 days, with a written confirmation of deletion provided.

Do you work with our competitors?

Accepted Answer

We're transparent about our client portfolio at the start of every engagement. If we already serve a direct competitor in your immediate market, we'll disclose it before signing — and clients can request market exclusivity for an additional retainer premium where relevant.

Question 18

How do you handle audit, regulator and owner queries?

Accepted Answer

All external communication on financial matters is coordinated through your designated representative. We respond directly only when explicitly authorized by you, and every external response is logged for your records.
